Human Resource Development

 

Long term programmes

 

-         Records pertaining to interactions with RCI and universities, notification for admission, admission procedures, admission registers, feed back from the students, evaluation of faculty, examination system are maintained by the academic department.

-         Records pertaining to course content coverage, monitoring of theory and practical maintained by the respective departments.

-         Records pertaining to RCI recognized courses, evaluation of the scripts, setting of question papers Board of Examiners and declaration of results are maintained by the Academic Department.

-         Records pertaining to national level workshops/conferences and course coordinators committee.

-         Records pertaining to internship,/placement programmes and fellowship programmes.

 

Short term programmes

 

-         Records pertaining to notification and conduct of the programmes maintained by the respective coordinators. 

-         Records pertaining to any programme of national and international level when conducted, the respective records will be generated and maintained by the head of the organization and/or course coordinator. 

-         Records pertaining financial sanctions and monitoring of the programme expenses are maintained at the accounts department.

 

Research and development.

 

-         Records related to each of the research projects are maintained by the respective project investigator.

-         Project proposals, data collection and database

-         Project reports and other outcome of the project in the form of publication or prototype. 

-         Records pertaining to the comments, observations/approval of the academic department and Ethics Committee are centrally maintained. 

-         Records pertaining to Academic Committee.

-         Financial sanctions and monitoring of the project expenses are maintained at the Accounts department.

 

Extension and Outreach programmes:

-         Records pertaining to extension programmes of the institute, correspondence with offices of the respect heads, DDRC, office of PDDRCs, relevant stock registers

-         records pertaining to camps training programmes awareness programmes wherever appropriate case records,  relevant stock registers,

-         records related to ADIP scheme, ADIP committee, procurement of aids and appliances, minutes of DMT meeting, records of Department of CRPM.

-         records related to monitoring and evaluation of programmes of DDRCs and its beneficiaries, relevant stock registers.

-         Records related to financial aspects of extension and outreach programees if maintained at accounts department.

-          

 

Consultancy and technical support

 

-         Records related to correspondence with voluntary organizations.

-         Records related Inspection under grant-in-aid programme,

-         Records related to training programmes of National Trust.

-         Records pertaining to National Parents Meet and National Level programmes

 

Documentation and dissemination

 

-         Records pertaining to publication awareness such as posters, brochures, pamphlets.

-         Records pertaining to procurement of books/ non-book materials and subscription to journals

-         Records relating to maintenance of NIMH website

-         Records pertaining to, library visitors, NIMH publication stock registers and other records related to efficient functions of the library

-         Records pertaining to expenditure are maintained at the Accounts department

-         Records pertaining to Library Committee

 

 

Estate

 

-         Records related to constructions works at headquarters and regional centres,

-         Records related to maintenance works of buildings

-         Records related to annual maintenance contracts of mechanical and electrical equipments, house keeping and horticulture and catering

-         Records related to material purchases related to maintenance works

-         Records related to maintenance of vehicles.

-         Records related to Estate Committee.

-         Records pertaining to expenditure are maintained at the Accounts department

 

Administration

 

-         Records dealing with service matters pertaining to all the staff members of NIMH and of the other Regional Centres and NIMH Model Special Education Centre, New Delhi which comprises recruitment, promotion, sanction of leave, drawal of pay and allowances, sanction of advances.

 

-         In connection with the discharge of the aforesaid functions rules framed by the Executive Council, provisions of Fundamental Rules and Supplementary Rules, General Financial Rules and Delegation of Financial Power Rules etc. and Government of India Instructions received from time to time.

 

-         Records pertaining to Administrative Coordination Committee and Management Review Committee of ISO, Establishment Manual, Material Manual

 

Accounts

 

-         Records related to Receipts book, valuable register including grants-in-aid, cash book and ledger

-         Records related to payments such as contingent vouchers, advance vouchers and detailed vouchers, bill register, cheque book, cash book and ledger.

-        Records related to financial aspects of institute’s and its regional centres activities/services such as viz., Services, HRD, R&D, Extension and outreach programmes.

Records pertaining to Internal Audit, Annual Audit by CAG, advances and    operating Accounts Manual
